Cleaning Up a Lexia Database in Preparation for Migration to Lexia Reading

Description

Before migrating existing students into Lexia Reading from an older product database, student records may need cleaning and modification.

 

Solution

Existing Lexia student data from older products (specifically, Early Reading 3, Primary Reading 1, Strategies for Older Students 4, and Quick Reading Test 2, which all make use of the same Valentina SQL database) can be brought into Lexia Reading, preserving the points where students left off. This process is called migration. Migrations are done with the Lexia Data Migration Tool, available for download from our website.

Migrations differ from imports. Imports consist of tab-delimited lists of student demographic data, as defined by a template made available on our Lexia Reading downloads page, and are intended to bring new students into Lexia Reading or to start Lexia Reading fresh with no existing Lexia data preserved. Migrations are intended for students who have used Lexia previously, to preserve where a student left off in the old version. The migration process will not preserve any reportable history- just where the students left off.

Migrations can only occur after your school or district has purchased Lexia Reading, and received confirmation from Lexia that your account has been created. You should schedule the date of the switchover from any previous Lexia products to Lexia Reading with Lexia in advance.

The Migration Tool will create a tab-delimited Excel spreadsheet containing a copy of your students' names and current settings for each level, activity and unit, which you will send to Lexia to put into our online database. Students who have never used Lexia will be skipped, and not included in the migration file. Class information is also excluded- classes must be set up manually through the web admin console (MyLexia.com) after the migration is complete. Also keep in mind that the Migration Tool is taking a snapshot of your data as it stands at the time you run the tool. Any further work in the older Lexia products after the migration file is created will be ignored.

The Migration Tool must be run from a student workstation that has the previous Lexia products installed already. These products must be connected to a local or network database that contains the student information you wish to migrate to Lexia Reading.

Pre-Migration Cleanup of Student Data

1. Before touching any student data in the pre-Lexia Reading database, perform a manual backup of your student records with the Lexia Data Monitor tool.

2. Students should not be in Lexia while you are making changes to records.

3. In the Lexia Admin Tool, delete any students from the Lexia roster who will not be migrating- students who have moved, never have or never will use Lexia, students who have graduated, etc. Before deleting a student, print a report of their progress if it may be needed in the future- once an account is deleted, all reporting data is deleted as well. If you encounter a duplicate account, preserve the one with the most recent usage.

4. Check the student usernames for any duplicate usernames. Change usernames as necessary to avoid duplicates. In Lexia products released prior to Lexia Reading, the usernames were not visible to students, who would choose their names from a list. In Lexia Reading, students must know their usernames and type them in to access the software.

5. While going through the student accounts, standardize conventions for usernames and passwords. Many schools use the student ID number as the username, ensuring it remains unique.

6. Use the Lexia Data Monitor Tool to run a Compact & Repair on your data. As part of this process, another backup will be generated. If any error messages result, contact Lexia support immediately and arrange to send us a copy of yor backed-up data to inspect. If no errors are reported, proceed.

After cleaning the student data, install and launch the Migration Tool on a workstation. The Migration Tool will not create a desktop icon or dock/start menu shortcut- browse to the Lexia Learning Systems folder where the Lexia products are installed and launch the Migration Tool from there.

Sign in using the same Lexia sysadmin or keyadmin account that you use for the Admin Tool. Select the students to migrate, then click the Migrate button. E-mail the resulting file to support@lexialearning.com along with your school's account information, and Lexia will notify you after the student information has been migrated into Lexia Reading.
